How to verify a Chinese supplier before payment

A practical verification flow for importers before sending a deposit to a new supplier in China.

Updated: June 20267 min

1. Confirm who is behind the offer

Check the business license, registered scope, address, legal representative and export experience. The goal is to know whether you are speaking with a manufacturer, a trading company or a sales office.

2. Match documents to the exact product

Certificates and test reports should match the model, factory and destination market. A generic PDF is not enough; ask for traceable report numbers and original files when the order is meaningful.

3. Look for payment and communication risk

Very low prices, personal bank accounts, refusal to show production, rushed deposits and inconsistent company names are all signals to slow down before payment.

4. Verify reality on site when the order matters

Documents show intent; an inspection shows reality. A factory visit can confirm equipment, warehouse, staffing and whether the supplier can actually deliver the promised volume.

Summary

Before payment, combine document checks, risk signals and, for meaningful orders, an on-site verification. It is cheaper than discovering the problem after production or shipment.
